Quote vs estimate vs invoice — the commitment differs
An estimate is a rough, non-binding indication of cost. A quote is a firm price you are committing to for the goods or services described, usually for a stated period. An invoice comes last and is a demand for payment once work is done or agreed. Calling a firm price an 'estimate' — or an early price request an 'invoice' — creates confusion about whether the figure can still move.
A professional quote needs a validity period
Without a 'valid until' date you are, in principle, holding that price open forever — awkward when material or labour costs rise. A stated validity window (14 or 30 days is common) protects your margin and gently nudges the client to decide. Our builder adds this notice to the PDF automatically.
Itemise, and spell out what is included
The single biggest source of quote disputes is vague scope. List each line separately with quantity and unit price, state what the total does and does not cover, and note payment terms. A client who can see exactly what they are agreeing to is far less likely to argue about it later.
